This section outlines the application, recruitment
and selection process for support staff for
The Police Service of Northern Ireland.

Telegraph, Irish News and News Letter. Occasionally
positions will be advertised in local press
and specialist publications.

The Application Pack
The application pack that you request will
include information about the job for which
you are applying, a job description and
personnel specification, application form
and equality monitoring form.
Envelopes are included for the equal opportunity
monitoring form.
Completion of the forms you receive in your
application pack is an essential element of
the selection process. Please ensure you fully
complete all forms.
Completing the Application
Form
On your application form, in addition to your
work history and educational achievements,
you may also be asked to demonstrate how you
meet the requirements of the job.
Information on your qualifications, knowledge
and experience that you detail on your application
form will be used for short listing purposes.
You should therefore fully demonstrate how
you meet the requirements of the post, as
outlined in the job description and personnel
specification.
Short listing panels cannot make assumptions
about job titles or about information that
you haven’t told us. So please ensure
that you carefully read all guidance notes
and information provided before fully completing
your forms.
Short listing will be carried out on essential
criteria. During the selection process short
listing may be further carried out on desirable
criteria.

Tips for completing
the Application Form
• Read the form and your information
pack carefully before completing.
• Write all information clearly and
neatly.
• Complete the form in black ink.
• Do not include a copy of your curriculum
vitae, as these are not accepted, unless otherwise
stated.
• Carefully read the sections that may
ask you to demonstrate your knowledge / experience
and ensure that you fully demonstrate how
you meet the requirements.
• Where you are asked to give dates,
list all dates e.g. 01 June 1999 – 31
September 02.
• Details of your qualifications must
include, dates of study, examining body, dates
that examinations were taken, subjects and
grade.
• Make sure that you date and sign
all forms
(individuals submitting applications on line
will be required to sign their
application form if and when invited to interview)
Equality Monitoring
In accordance with the Fair Employment and
Treatment Order (N.I.) 1998 and the Fair
Employment
(Monitoring) Regulations (N.I.) 1999 employers
in Northern Ireland have a statutory duty
to monitor the composition of their workforce
and of those applying to fill vacancies.
Therefore
you are required to complete an equality
monitoring questionnaire as part of the application
process.
You will be asked to provide details on your
gender, marital status, ethnic origin, disability,
age, sexual orientation, community background
and any disability you may have. This information
is confidential and will
be securely stored in a separate monitoring
unit. Persons involved in the recruitment
and selection process do not have access
to
this information.

Returning Application
Forms
By
post
Application forms must be returned by the
closing date specified on the advertisement.
Unfortunately we are unable to consider applications
received after the closing date. Your application
form and sealed envelopes should be placed
in the addressed envelope provided and returned
by the closing time and date. Please note
that returned application forms currently
require a postage of at least 46p. It is
not Grafton ESP's policy to collect
application
forms with inadequate postage. In the event
of inadequate postage, the envelope will
be
held by Royal Mail and may be opened to determine
sender address details to return or alternatively
destroyed.
Once you have completed and returned the
application form, we will send you a letter
to acknowledge receipt of your application.
On-Line
Applications submitted online must be submitted by the closing date and
time. Upon submission of your completed application form you will received
an email confirming receipt, please print this off and retain for your
records. This email will also contain the job description and personnel
specification and the application protocol.

Short listed Candidates
Selection Assessment
If you are short listed for assessment we
will contact you to advise of the date, location,
time and type of assessment.
Assessment may take the form of ability testing
and / or interview.
• Testing – You
may be required to undertake certain tests
in the recruitment process to demonstrate
certain skills, abilities or competencies
e.g. numerical reasoning, manual dexterity,
typing etc. The means of testing will depend
on the type of job for which you have applied.
• Interviews –
If you are invited for interview, you will
be assessed by an interview panel. All interviews
are structured and all candidates asked the
same questions. As part of the interview,
you will be asked about the competencies relevant
to the role.
Medical History
Questionnaire
If invited
to attend to interview you will be required to complete a medical history questionnaire
and return it to Grafton ESP.
A medical advisor will make a general assessment as to whether you comply with
the medical standards required of the job for which you have applied. This assessment
is carried out on the basis of the information provided by you. All medical information
provided by you remains entirely confidential to the Medical Advisor and shall
form part of your occupational health record if selected into The Police Service
of Northern Ireland. Depending on the job for which you have applied you may
have to attend a medical assessment. We will advise you if this is the case.
If you are not selected for a post your medical declaration will be destroyed.
Certificates for
Qualifications / Driving Licence
/ Professional Membership
If you are invited for assessment it is essential
that you bring your driving licence (where
requested) and original certificates of qualifications,
where this forms an essential requirement
of the position. The HR Account Team will
take photocopies of these certificates and
licence and keep them with your application
form. In addition random checks may be made
with the issuing examination body or institution
to ensure accuracy of the details recorded
on the certificates and professional memberships.

Security
Vetting
Employees in the Police Service of Northern
may become aware of matters of a confidential
and secure nature. Every reasonable precaution
must therefore be taken to ensure that candidates
appointed are law abiding and people of integrity.
It is for this reason that candidates are
required to complete security check questionnaires
prior to or after assessment. If you are not
selected for a post and have completed a form
it will be destroyed.
Applicants with
disabilities
The Police Service of Northern Ireland and
Grafton ESP are committed to ensuring
the removal of unnecessary barriers to the
employment of disabled persons. Therefore
in order to compete on an equal basis, some
disabled people may have additional requirements.
Please let the HR Account Team know if you
require any special adjustments or arrangements
should you be called for assessment / interview.

Merit
Pool
If you successfully pass the required assessment(s),
you will be entered into what is referred
to as a ‘Merit Pool’. The merit
pool is a list of all candidates in rank order,
who have passed the Grafton ESP selection
process. Once you receive notification of
this from us, a member of The Police Service
of Northern Ireland Recruitment Branch will
be in contact with you to advise if an offer
of employment can be made.
